BOOKING & STAY REGULATIONS GÓRSKA OSADA | Luxury Chalets Poronin Zakopane

§1. General Information

1. These regulations define the rules for booking, renting and staying at GÓRSKA OSADA Luxury Chalets in Poronin (Zakopane).
2. By making a reservation, the Guest accepts the terms of these regulations.
3. The property is operated by GÓRSKA OSADA – Urszula Górska Iwicka (brand owner), ul. Kośne Hamry 4c, 34-520 Poronin, NIP: 7361573413.

§2. Reservations & Payments

1. Reservations can be made:
   • via the online booking system at www.gorskaosada.com,
   • by phone: +48 888 100 160,
   • by email: hello@gorskaosada.com,
   • in person at reception (ul. Kośne Hamry 4d).
   • Reservations can also be made via selected external booking platforms where our offer is available.
2. A reservation is confirmed when:
   • availability is confirmed by the property,
   • the reservation deposit (prepayment) is received as per the booking instructions.
3. Failure to make payment on time will result in cancellation.
4. The remaining amount must be paid no later than the check-in day, before the start of the stay.
5. The person booking must be at least 18 years old.

§3. Cancellations & Changes

1. Cancellation terms depend on the selected offer.
2. Unless otherwise stated:
   • cancellations made more than 60 days before arrival are fully refundable,
   • cancellations within 60 days of arrival incur a 50% cancellation fee.
3. Shortening the stay does not entitle the Guest to a refund for unused nights.

§4. Check-in & Check-out

1. Check-in: from 4:00 PM; Check-out: by 10:00 AM.
2. Check-in is available at reception between 9:00 AM and 5:00 PM, or at other times by prior arrangement.
3. A valid ID and completion of the registration form is required at check-in.
4. Check-out must take place by 10:00 AM.
   • Guests interested in a complimentary late check-out must contact reception at least one day in advance.
   • Late check-out is subject to availability and must be confirmed by reception.
   • Unauthorized late check-out will result in a charge of 200 PLN for each started hour.
5. If the Guest is absent after 10:00 AM, staff may enter the chalet and transfer belongings to the reception.

§5. Security Deposit & Responsibility

1. A refundable deposit of 500 PLN may be required, either in cash or via credit card pre-authorization.
2. The deposit is returned after the chalet is inspected upon check-out.
3. The Guest is responsible for any damage caused by themselves or their companions.
4. If damages exceed the deposit, the Guest agrees to cover the full cost.
5. In case of flooding the chalet (e.g., misuse of bathrooms or kitchen), the Guest will bear full financial responsibility. The minimum contractual penalty in such case is 2000 PLN.

§6. House Rules

1. Quiet hours: 10:00 PM to 7:00 AM.
2. Smoking is strictly prohibited inside chalets (penalty: 1500 PLN + cleaning/ozonation costs).
3. Children under 3 years stay free of charge.
4. Pets are only allowed by prior agreement and may incur additional charges:
   • Cats: free of charge
   • Dogs: 70 PLN / night (as stated in the FAQ)
5. Fireplace use is only allowed with the door closed and under supervision.
6. Use of the BBQ hut and fire pit is only allowed upon prior arrangement with reception.
7. Unregistered visitors may stay in the chalet only between 6:00 AM and 10:00 PM, and must be registered in reception.
8. Parties and events are only allowed with prior written approval from the property.

§7. Chalet Use & Facilities

1. Guests may not rearrange furniture or make permanent changes to the chalet.
2. The use of personal heating appliances is prohibited (except for chargers, etc.).
3. BBQ and fire pit use requires prior approval from reception.
4. Guests may use the playground in accordance with its rules.
5. Chalets are for residential use only. Commercial use requires written consent from the property.

§8. Complaints

1. Complaints should be submitted by email: reklamacje@gorskaosada.com
2. A response will be provided within 14 business days.

§9. Personal Data

1. The data controller is GÓRSKA OSADA – Urszula Górska Iwicka.
2. Personal data is processed solely for purposes related to booking, stay and in accordance with GDPR.
3. Guests have the right to access, correct, limit or delete their personal data.

§10. Final Provisions

1. Making a reservation implies acceptance of these terms.
2. Matters not covered are governed by Polish law.
